Archiving schedule for FFY 2024

We have added new resources for common search errors. (See example below). These resources can be added to a provider
to help facilitate search results. 

There are 5 known commonly misspelled or abbreviated search terms that are searched on the ADRC site.

  • Alzheimers instead of Alzheimer’s,
  • Huntingtons instead of Huntington’s,
  • Cushings instead of Cushing’s. 
  • TBI instead of Traumatic Brain Injury
  • Parkinsons instead of Parkinson’s.

User Manual Update

Documentation regarding Group Units Phase One and Phase Two from 2022 has been added to the Troubleshooting and Tips section of the user manual. 

This document clarified 

Participants Expected (Here you will enter the Estimated Consumer Count, the number of consumers served.)

Participants Attended (Here you will enter the Service Units total)

 

***New Archive Schedule***

All Capstone data will be archived weekly on Friday 6:00 PM Eastern time February through December for the Fiscal Year that corresponds to the calendar year. 

For example:  February 2024 through December 2024 will be for fiscal year 2024.

In the month of January, we will archive every day for the prior fiscal year.

**Notice Regarding the Yellow and Blue Upload Sheet""

*****IMPORTANT***** Do not remove, delete, type over or edit names on this sheet that are downloaded by the system.   If you do, then you run the risk of adding units to the wrong case.   Over time, the system will automatically drop off individuals who are no longer receiving services.   If you need to add a new person, you will add the new person to the first blank line under the downloaded consumers.  Do not leave a blank line between consumers.   

This sheet is used to add units to the already existing consumers and to add new consumers to the first blank line after the downloaded consumers.  Any alterations to the document other than this will cause your numbers to be incorrect.

NOTICE ABOUT TICKET DESCRIPTIONS

We are updating our ticketing system to align with
standard security measures. Many of you receive a notice when you have a ticket
waiting for you in the portal. We have locked down the description to only allow
an abbreviation and the ticket number in the description field to alleviate any
possibility that a customer could type in a client or consumer’s Personal
Identifiable Information (PII).

An example of what you will be seeing in the Description
field during the transition phase:  OSR1234.
OSR stands for:  Other Service Request and 1234 is the ticket number. 

This is a temporary measure.  We will soon be updating the portal utilize a
system generated description.  At that time, you'll have a new view of
your ticket list which will include a snippet of the description for your
tracking.

While this is inconvenient for all of us, it meets the standard for privacy and
security that our industry has moved to in order to safeguard PII.

***Issue with ADRC Website has been resolved*** 

      07/07/2023 We are actively working on a known issue regarding the ADRC Website timing out and/or results are not being returned. We will notify you when this issue has been resolved.

 

11/3/2022 Issue Report  **** RESOLVED Capstone Version 3.19.0.6214 was installed 12/10/2022****

We have disovered that the upload units screen which is accessed from the menu as shown below is causing units to be rounded to whole numbers. 

 

 

The upload units sheet with the blue and yellow columns is the one rounding units.

This issue is not occurring in other upload or user input areas. 

If you have partial unit numbers to report, you must either use a different method for entry or correct the units inside the consumer's case.  An update to the system scheduled for early December will correct this issue.

Be sure to add the AAA assignment to the provider when creating a new provider record.  If the provider does not show up in the quick search when you are uploading or entering units, then the AAA record is not attached to the provider.  System and Provider Management users have access to make the correction on the provider details screen.

Currently if you add a Care Recipient that does not have a case and you specify care recipient, the case is throwing an exception when you click to go to the other case.  This is a known issue. In the upcoming release 6214, the system will notify you that the recipient doesn't have a case.

Regarding End of FFY

 

Last year we had some customers ask for several "re-run" of the archives to assist the programs in entering and reviewing data.  This year we have modified our tools to extend the "FY" logic to include all of October.   This also means that while you are in October, you are technically in the new reporting year, but the system will still react as if it is the prior reporting year.  This is by design.  

Our expectations are that all programs will be able to review their data by the end of November so that you can upload your sheets to ACL in December.

The OAAPS reporting tool is trying to calculate caregiver type and failing because the questions don't conform to ACL's definitions.  JUMP requires this change in order to finalize the reporting for OAAPS including tab 1a.

Wording should match what's in ACL's defnitions.
